The Challenge: Understanding Workstation Usage and Health
“At the start of the project, our goal was to find a solution for reliably monitoring computer utilisation rates. We were planning a project aimed at reducing the number of computers, which is why we needed comprehensive data on computer usage to support decision-making. We were also interested in assessing the condition and health of the workstations.”
The First Results: 400+ Low-Use Computers Removed
“To date, we have identified and removed over 400 computers that were in low utilisation. This has generated savings, as we no longer need to order new machines to replace them. In addition, Applixure data has been used to monitor and improve workstation security and health. An integration has also been created with a ticketing system, which will allow us to proactively address issues identified in the computer environment in the future.”
The Next Step: Lifespan Analysis for Replacement Decisions
Going forward, the county will increasingly assess the need for workstation replacements based on device condition.
To support future device replacements, computers will undergo Applixure's lifespan analysis based on Applixure's proprietary set of data-driven metrics.

The Impact: €110,000 in Estimated Savings, in a Single Quarterly Leasing Cycle
“The results make it possible to reconsider the timing of replacements. Based on the calculations, extending the lease on some devices instead of purchasing new ones is estimated to generate savings of approximately €110,000 over the review period.
At the same time, replacement costs incurred during the year can be reduced, as can the loss of end-user working time associated with device swaps. The solution does not eliminate the need for device investment, but defers it to a later date based on device condition and usage.
In our estimate, similar optimisation potential exists in upcoming quarterly replacement cycles. Utilising lease extensions could deliver a significant cost impact on an annual basis, while at the same time, device fleet renewal continues in a controlled manner in subsequent years. This allows costs to be optimised in the short term without losing sight of long-term investment needs.”
What’s Next: Potential Move to a Five-Year Leasing Model
Based on the results, South Ostrobothnia Wellbeing Services County is also considering moving from a four-year to a five-year leasing model for laptops, which would deliver clear, long-term additional savings.
